			<content:encoded><![CDATA[<p>Hi Everyone,</p>
<p>We&#8217;re off to a quiet beginning of 2o12 and that&#8217;s good thing because when it&#8217;s not quiet, money&#8217;s being spent repairing things.   Kidding aside, the master association held its regular meeting on February 7th to handle a couple of business items.</p>
<p><strong>#1.  We&#8217;ve voted to accelerate our payments on the long-standing, HOA loan.  The extra principal payments will allow us to retire the loan by June 2012 provided no major and unexpected Reserve Fund replacements are needed in the meantime. </strong> This will retire the loan a full two years ahead of schedule.  The board, once the loan is paid, will essentially increase the amount of money we save every month for the Reserve Fund.  The Reserve Fund exists for capital or property improvements and replacements.  Our regular budget sets aside funds to pay the bills and cover routine maintenance.  <em>For example, hiring a plumber to unclog a drain will use money from the regular budget.   Replacing the roof of the clubhouse, repaving part of the walking path or refinishing the pool comes from Reserve Funds.</em></p>
<p><strong>#2.  We&#8217;re purchasing new umbrellas for the 2012 pool season since the wind and usage cost us two &#8220;new&#8221; umbrellas in 2011.</strong></p>

<p>The meeting was called to order at 7:01.  There was a quorum present.  The November 2011 minutes were approved as written.</p>
<p><strong>President’s Report</strong></p>
<p>The property at 314 Springfork Drive is no longer deeded to Edgehill Farm Master Association.  All the delinquent dues and legal fees were paid.</p>
<p>The re-landscaping of the Edgehill Parkway median and the installation of azaleas at the clubhouse is almost complete.  The only plants left to install at the median are creeping raspberry bushes.</p>
<p>The pool pump room door and front wall were replaced/repaired.</p>
<p>The budget has an overstatement of $577 dollars which can be made up in the understated income from interest, late fees, etc.</p>
<p>There have been no more reports of goose shootings since the Town of Cary Police canvassed the area.</p>
<p>The electric bill has dropped since the timer was installed on the pool pump.</p>
<p><strong>Treasurer’s Report</strong></p>
<p>Phyllis stated that the bills have been paid.  She advised not moving the Reserve Money Market account since it seems we are getting a decent interest rate.</p>
<p><strong>Clubhouse Report</strong></p>
<p>Nothing.</p>
<p><strong>Grounds Report/Lake</strong></p>
<p>Nothing to report.</p>
<p><strong>Pool Report</strong></p>

<p><strong>There was discussion on making an extra principal payment on the loan in order to pay it off sooner</strong>.  <em>Jim made the motion and Phyllis seconded to make the additional payment and not to allow the Reserve account to go below $20,000.  Motion approved.  </em>There will be future discussions on retiring the debt.</p>
<p><strong>Phyllis made the motion and Sally seconded to purchase cheaper pool umbrellas from local sources since they seem to last as long as the more expensive ones we bought last year. </strong><em> Motion approved.</em>  Cindy will be checking local stores to see when they will be available.</p>

			<content:encoded><![CDATA[<div>The Town of Cary&#8217;s Engineering Department has approved Edgehill Farm to redesign the median landscaping and the entrance sign landscaping at the entrance of High House Road &amp; Edgehill Parkway &#8211; the main entrance for those you living in Cedar Pointe condos and the town homes.  The two entrances feeding the single family homes are not affected by this project.</div>

<div>A rather mild thunderstorm destroyed the first Bradford Pear tree at the Edgehill Parkway entrance late last summer, underscoring the fact that Bradford Pears generally have a expected lifespan of 25 years (Edgehill Farm as developed in 1985 so this is right on course).  The master association board voted to redesign the landscaping to address the two remaining trees and the holly bushes that have seen their better days as well.  The Town of Cary, which is very strict in replacing trees, has reviewed our plans and approved them as the design is a tit-for-tat replacement that won&#8217;t result in lost greenery, plants, trees, etc.</div>

<div><strong>#1 &#8211; The two remaining Bradford Pears and all the holly bushes are coming out of the median with stumps being ground to invisible status.  The sketch shows the new trees, bushes and flowers that are being installed.  They are drought tolerant and low maintenance so we&#8217;re assured they&#8217;ll not add to our regular landscaping bill.</strong></div>

<div><strong>#2 &#8211; The wax myrtle trees that overhang the Edgehill Farm entrance sign at the stop sign will be cut down and replaced with Nellie Stevens hollies.  The wax myrtles on our property are showing a tendency to break as well.  This will result in a &#8220;cleaner&#8221; look to your entrance and a new, long-lasting tree not prone to the same problems facing the trees and shrubs planted in the 1980s.</strong></div>

<div>The new plants being installed are perennial and will live year-round.  We purposely avoided the installation of flower beds that require seasonal planting rotation.  The smallest beds at our entrance ways cost several hundred dollars a year to maintain.</div>

<div><strong>Side Note:  The Board has also approved the installation of Encore Azaleas and Lirope grass in along the front of the clubhouse.  This will be done in conjunction with the larger project.</strong>  The board recognized the concerns of some condo residents who wanted something done to the barren clubhouse exterior.  Yes, we were slow addressing it but we were watching our cash flow and had a hunch the pool repairs would come calling, which they did.  Now, that&#8217;s behind all of us.</div>

<div>Randy Smith Tree Care will be working on the initial clean out of existing trees and bushes.</div>

<div>TSI Landscaping, the master association vendor, will install the new landscaping and have authority to water it as needed to keep it hearty while the new roots get established.</div>

<div>Garden Supply Company, the garden shop right on Old Apex Road from us, has a landscape designer who drew the plans for us given our requests &#8211; so we went professional all the way within our budget.</div>

<div>I&#8217;m not sure when Randy Smith Tree Care &amp; TSI Landscaping will begin work or how long they&#8217;ll take, though it shouldn&#8217;t be long.  But keep an eye for work crews when you drive through in the coming week or so following the Christmas time-period.</div>

			<content:encoded><![CDATA[<p>Another year is winding down in Cary, NC and what a blessing it is to have been here to enjoy it.  The Edgehill Farm Master Association had a successful year, complete with a major community pool renovation and upgrade.  It costs tens of thousands of dollars but the community&#8217;s commitment to saving over the last few years allowed to us to cover the costs without assessment or loans.</p>
<p>Heading into 2012, we&#8217;ll be running the community in &#8220;maintenance mode.&#8221;  Our amenities are in good order and we&#8217;ll keep watch over them, moving quickly when repair needs dictate.  If we have an average year with dues collections &#8211; and there&#8217;s no reason to expect anything other than smooth sailing &#8211; the board will begin tackling a loan that&#8217;s been on our books.  The community possesses more cash-in-hand than loan debt and its historical &#8220;big ticket&#8221; repair demand, which seems to be the pool every eight years or so, was met in 2011.  So, now&#8217;s the time to retire that loan and then focus on building our &#8220;Rainy Day&#8221; reserve fund accounts at a monthly rate that could top twice the rate we&#8217;re currently able to save on a monthly basis.   This is THE protection against undesirable assessments or loans when emergency situations arise for which there is no way to budget in the regular operations budget.</p>
<p>The challenging economy is being felt by most of all of us and we recognize it.  But, we&#8217;ve still not determined a way to have the property take a break from needing so much regular maintenance, but such is life in a suburban community with a pool, lake and paved walking path.  Thank you for your confidence.  If you&#8217;re a resident of Edgehill Farm or own property and want to stay informed, send us a note and we&#8217;ll add you to a private email list where we send out not-so-often updates, on an as-needed basis, letting you know what&#8217;s happening around Edgehill Farm.</p>

<p style="text-align: center;"><strong>SEPTEMBER 13, 2011</strong></p>

<p>The meeting was called to order at 7:00. There was a quorum present. The June 2011 minutes were approved as written.</p>
<p><strong> President’s Report</strong></p>
<p>We are at a 92% collection rate. We have several 15 day notices this month. Many of our trees are getting to end of their lifespan.</p>
<p><strong>Treasurer’s Report</strong></p>
<p>Phyllis said the reports and bill looked good.</p>
<p>314 Springfork was brought up and discussed.</p>
<p><strong>Clubhouse Report</strong></p>
<p>See New Business.</p>
<p><strong>Grounds Report/Lake</strong></p>
<p>Nothing to report.</p>
<p><strong> Pool Report</strong></p>
<p>The pool is closed. The pool furniture should be put up shortly.</p>
<p><strong>New Business</strong></p>
<p>Right now there has not been consistency in having renters tour the Clubhouse. Cindy volunteered to handle the job. It was decided to have the locks in the downstairs area changed so that a renter will not have access to the pool deck (someone planning on renting the clubhouse said they would go out on the deck even after being told they could not).</p>
<p>Kelly mentioned the email he sent out about the Community Yard Sale. The organizers would like to use the clubhouse tables.</p>
<p>Kelly made sure that the pool business, landscaping of the island, and footbridge repair can be taken out of reserves.  <strong>Note: Landscape Replacement money will not come from HOA Reserve Funds</strong></p>
<p>The pool repairs were discussed. The board would like to see as many skimmers repaired as possible. Louis made the motion that we set a not to exceed amount of $20,000 for the pool repairs. He would also like to see a break down of the prices for having the lines replaced in the pump room, replacing the pumps, and the combination of the two. The motion was seconded and approved.</p>
<p>Sally made the motion and it was seconded and approved to go with Option 2 of the footbridge repair quoted by Finchworks LLC. The cost is $1,750 and does not include sealing/painting the wood.</p>
<p>The Edgehill Parkway entrance island proposals were discussed. The board approved the TSI proposal for doing the island and behind the fence for around $4300 total, including the tree removal that needs to be done by someone else besides TSI.</p>
<p>The proposed 2012 budget was approved. The budget will allow us to save more in reserves.</p>
<p>The meeting was adjourned at 8:45.</p>

<p><strong>Management:</strong>       Beth Harvey</p>
<p>The meeting was called to order at 7:35.  There was a quorum present.  Beth will be sending out an updated board list with Diane’s contact information.</p>
<p><strong>Election of Officers</strong> – <em>Kevin made the motion and Cindy seconded to keep the current officers.  Motion approved.</em></p>
<p><strong>The minutes from September 13 and 20, 2011 were approved as written.</strong></p>
<p>The pool repairs are complete.</p>
<p>Randy Smith Tree Care gave a bid of $2000 to remove the plantings and to grind the stump at Edgehill Parkway.  Beth was told to proceed with the work so that the new plantings can be installed.</p>
<p>Louis mentioned that the drains to the lake need to be cleaned out as well as there is vegetation growing over the rip rap.  Kelly asked Beth to see if TSI will trade work to clean this up (maybe not do a winter mowing).</p>
<p>Cindy is going to check on the cost of replacing the curtains in the clubhouse with blinds.</p>
<p><strong>The landscape proposal for the front of the clubhouse was discussed. </strong> <em>Cindy made the motion and Phyllis seconded to approve the 15 Encore Azaleas at a cost of $528.  Motion approved.</em></p>
<p><em>Kathy made the motion and Diane seconded to approve the 28 Lariope at a cost of $250.  Motion approved.</em></p>
<p><strong>Replacing the pump room door with a metal door and reframing it was discussed.  There was also discussion about keying the pump room door</strong>.  <em>There was a motion made to accept the bid by Finchworks to replace the pump room door and to also add a dead bolt on the outside of the door leading to the pool (so that during the off season, access will be denied to the pool), the cost will be around $800.  Motion approved.</em></p>
<p>It was brought to our attention by Cedar Pointe that the tree in front of the clubhouse needs root treatment.  Beth will have someone look at the tree.</p>
<p><strong>Kelly discussed his wish to reduce/eliminate the loan debt in the coming year.  He is suggesting that we use reserve money to pay off the loan faster.  He suggests leaving $20,000 in reserves. </strong> If we should receive the foreclosed property money owed this would help immensely.  <em>Kevin made the motion and Phyllis seconded to redirect our reserve payments each month to the loan payment (we would still make the normal payment) and to break the CD in order to also pay on the loan.  Motion approved.</em></p>
<p>At this point the board went into executive session to discuss the foreclosed property.</p>
<p>The meeting was adjourned at 9:10.</p>
<p>The next regularly scheduled meeting will be on February 14, 2012 at 7:00 pm in the clubhouse.</p>

			<content:encoded><![CDATA[<p>Don&#8217;t forget the Annual Meeting will be held in the downstairs community room at the Edgehill Farm Clubhouse (downstairs room) at 7pm.</p>
<p>It will be immediately followed by the November 2012 regular business meeting.</p>
<p>The Master Association is responsible for maintaining the lake, grassy park land, walking path, pool, clubhouse, dog park and the community&#8217;s main street entrances.</p>
<p>We don&#8217;t oversee maintenance of condos, town homes, public or private streets that serve Edgehill Farm.  Over HOA boards (there are multiple boards that serve individual neighborhoods &#8211; Westview Cove, Planters Woods, Planter&#8217;s Pointe &amp; Cedar Pointe).  Many time, people get confused by this, but we&#8217;re glad to help find solutions.</p>
